Payment Requests allow you to send a customer an email containing a secure link to pay an outstanding transaction online through the Client Portal.

This is useful when a customer needs to pay for a booking or other transaction remotely rather than making payment at the store.

Before you begin

Online payments must be set up before you can send Payment Requests.

See Payments on the Client Portal for instructions on setting up online payments.

Once payment processing has been configured, you can send a Payment Request from the normal payment screen.

Open the customer's transaction

Open the transaction you want the customer to pay.

For example, from the Calendar you can select the customer's booking to open the transaction and proceed to the Booking Payment screen.

Go to the payment screen

Review the transaction and confirm that the services, products and amounts are correct.

Proceed to Checkout to display the available payment methods.

Along with your normal payment methods, you will see Send Payment Request.

Select Send Payment Request.

Enter the Payment Request details

The Send Payment Request window will open.

Check or enter the following information:

Email Address

The customer's email address will be automatically entered where one is available. You can change the email address before sending the request if required.

Requested Amount

Enter the amount you want the customer to pay.

The amount must be greater than zero and cannot be more than the outstanding amount due on the transaction.

This means you can request either the full outstanding balance or a partial payment.

Note (optional)

You can add a short message for the customer.

The note will be included in the Payment Request email sent to them.

Send the request

Check that the email address and requested amount are correct, then select Request.

The customer can use the payment link in the email to securely make their payment online through the Client Portal.

What happens when the customer pays?

The customer follows the link in the Payment Request email and completes their payment online using the payment facilities configured for your Client Portal.

Once the payment has been successfully processed, the payment is applied to the associated transaction.

This means staff do not need to manually enter the online payment against the transaction.

Requesting a partial payment

You do not have to request the entire outstanding balance.

For example, if a transaction has $150.00 outstanding but you only want to collect a $50.00 deposit, change the Requested Amount to $50.00 before sending the Payment Request.

The remaining balance will continue to be outstanding on the transaction.

Changing the customer's email address

If the email address shown on the Payment Request is incorrect, you can change it before selecting Request.

Changing the address in the Payment Request determines where that particular request is sent.

If the customer's stored email address is incorrect, you should also update their client record so the correct address is used in future.

If Send Payment Request is not available

If you cannot send a Payment Request, first check that online payments have been correctly configured.

See Payments on the Client Portal and confirm that:

  • your Stripe account is connected;

  • online payments are enabled; and

  • your Client Portal payment settings have been saved.

Payment Requests rely on the Client Portal's online payment functionality, so this setup must be completed before customers can pay a Payment Request online.
